Privacy notice

This notice explains how Roundtell handles information when you create, join or take part in a circle through the web app at app.roundtell.com, the Android-friendly app at android.roundtell.com, or an installed Roundtell app.

What Roundtell is

Roundtell is an appreciation activity: a circle organiser invites a group, participants write good things about one another, and the results are revealed to the group. The organiser decides who to invite and why the circle is being run. Roundtell operates the service and processes information needed to run it. The Android version is intended as a free app for running small appreciation circles.

Information we process

  • Names entered by an organiser for the people in a circle.
  • An optional organiser PIN and one-time participant links.
  • The appreciation comments submitted about each person and the repeated strengths/themes generated from them.
  • Optional microphone audio if you choose to record instead of typing, plus the transcript generated from that audio.
  • Text sent for optional translation, content checks, spoken playback or theme extraction.
  • Technical information needed to operate and protect the service, such as service logs and IP-address-based rate limiting.
  • Your device's display preference and limited offline app files when you install or use the web app.

How we use it

We use this information to create and run circles, prevent duplicate submissions and abuse, show results, provide requested support, and keep the service secure. We do not sell personal information or use it for advertising.

Android app and device features

If you use Roundtell through the Android app or android.roundtell.com, the app may use browser or device features such as microphone access, local storage, offline app files and share links. Microphone recording is optional. If you do not want to record audio, you can type your comments instead.

Anonymous submissions

Roundtell does not show the group who submitted a particular appreciation comment. However, anonymity cannot guarantee that a writer will never be guessed from the wording or circumstances. Please do not include sensitive, private, harmful or identifying information that should not be shared with the group.

Optional AI features

Some Roundtell features use AI or cloud language services. If you choose translation, voice transcription, spoken playback, repeated-theme extraction or the content-safety check, the relevant text or audio may be sent to a trusted service provider, such as OpenAI and/or Google Cloud, solely to provide that feature. These tools are optional where shown. Do not submit sensitive personal information in audio or comments.

We do not intentionally use circle content to train our own models. Where a third-party AI or cloud provider processes text or audio for Roundtell, we configure and use those services as processors for providing the requested feature, not for advertising.

Retention and deletion

Active circle data is automatically deleted 30 days after it is created, unless the organiser deletes the circle sooner. We do not aim to store microphone audio after transcription has completed, although temporary processing, service logs or backups may exist for a limited period. Limited technical records and backups may be retained for a short period where needed for security, recovery or legal obligations.

Sharing links and contact details

Roundtell can help organisers copy personal links or open WhatsApp/SMS sharing on their own device. Roundtell does not send WhatsApp or SMS messages itself unless a future version clearly says so. The organiser is responsible for using contact details lawfully and only inviting people they have a legitimate reason to contact.

Your choices and rights

Depending on the circumstances, you may have rights to ask for access, correction, deletion, restriction or objection to the use of your personal information. Contact us using the details below. If you are in the UK, you can also complain to the Information Commissioner's Office.

Children and group organisers

Roundtell is not directed at young children. If a circle includes children or is used in a school, youth group or family setting, the organiser is responsible for ensuring that use of Roundtell is appropriate, supervised where needed, and that any required school, parent or guardian permissions are in place. We do not use children's information for advertising or profiling.

International providers

Our hosting, database, AI, translation, speech and security providers may process information in countries other than your own. Where required, we rely on appropriate contractual or legal safeguards for those transfers.

Changes to this notice

We may update this notice when the service or legal requirements change. The latest version will always be published on this page.
